How to send invitations on WhatsApp

By Nimanto · · 6 min read

The short answer

Send each guest a link to the invitation, not an image or a PDF, in a one-to-one chat or a broadcast list rather than a group. Add a personal line and a reply-by date. A link opens on any phone, can be updated after sending, keeps your guest list private and lets guests reply in a tap.

Should you use a WhatsApp group, a broadcast list or one-to-one chats?

One-to-one chats are the most personal choice and the right one for close family and elders. A broadcast list sends the same message to many people as private chats, but only reaches contacts who have saved your number. A group is quickest, but it shows every guest’s phone number to everyone else in it.

  • One-to-one: best for elders, close family and anyone you would otherwise phone. Slower, but it reads as personal.
  • Broadcast list: good for a long list of friends who know you. Each person sees a private message from you, and replies come only to you.
  • Group: fine for a small circle who already know each other, such as a class parents’ group. Everyone sees every reply, and some guests dislike being added without being asked.
  • If you do use a group, consider setting it so only admins can send messages, so the invitation doesn’t sink under replies.

How do you invite older relatives on WhatsApp?

Call first. In many families, especially for weddings and religious ceremonies, elders expect to be invited by voice or in person, and the message follows as the written invitation. Send it one-to-one, in their language if you can, and offer to record their reply yourself if tapping through a link is hard for them.

  • A voice note in your own voice is warm and easy to play.
  • Tell them what to expect: the invitation opens like a card, and they can reply on it or simply tell you.
  • If they haven’t replied, follow up with a call rather than a second message.
  • Some elders still like a printed card. A few printed copies alongside the link cost little.

How do you keep the guest list private?

Avoid putting all your guests in one group, which shares every number with everyone in it. Use one-to-one chats or a broadcast list, so each guest sees only your message. When e-mailing several people at once, put them in Bcc. And never share a screenshot of the replies list.

  • Personal links are tied to one guest, so you can see exactly who has replied.
  • A single shared link is quicker, but it can be forwarded, and anyone who has it can reply.

How do you follow up when guests haven’t replied?

Send one friendly reminder privately, a few days before your reply date, to those who haven’t answered, and one more a day or two after it passes. Keep it light and include the link again. A reminder posted in a group chat names no one, but it rarely works as well as a personal nudge.

Hi Neha, just checking you got the invitation for Saturday. Could you let us know by Thursday whether you can come? Here’s the link again.

Quick reminder: we’re confirming numbers with the caterer on Friday. If you haven’t replied yet, the link is below.

What about text messages and e-mail?

Use whatever each guest reads. In the US and Canada many people live in text messages rather than WhatsApp, and colleagues or older guests may prefer e-mail. The same link works everywhere: in a text it usually shows a preview, and in an e-mail it sits under a short note. Mixing channels is fine.

  • Text: short and personal, with the link at the end. Avoid long blocks of text.
  • E-mail: a clear subject line, such as “You’re invited: Zoe’s 6th birthday, May 16”, and Bcc for groups.

How replies come back on Nimanto

On Nimanto every guest can have a personal link. The WhatsApp button beside a guest’s name opens your own WhatsApp with the message and link ready to send, and invitations can also go by e-mail or text; see sending on WhatsApp, text or e-mail.

Guests reply on the invitation itself, and each answer lands against their name in your dashboard as it arrives (tracking replies). An automatic reminder can go to guests who haven’t replied yet.

Questions people ask

Is it rude to send invitations on WhatsApp?

No. For most events a WhatsApp invitation is now normal, and for many families living abroad it is the main way relatives keep in touch. It feels personal when you send it one-to-one with a line of your own. For weddings and religious ceremonies, many families still call elders first and then send the link.

How do I send a WhatsApp invitation without making a group?

Use a broadcast list or one-to-one chats. A broadcast list sends your message to each person as a private chat, and replies come only to you, but it reaches only contacts who have saved your number. For everyone else, send the message one-to-one, with their name added to each copy.

How do I get guests to RSVP on WhatsApp?

Give a clear reply-by date in your message, and send a link where guests can answer in a tap, rather than asking them to reply in the chat, so replies collect in one list. A personal reminder a few days before your date, and another just after it, usually brings in the late replies.

Can I send a wedding invitation on WhatsApp?

Yes. Many couples send their wedding invitation as a WhatsApp link, sometimes alongside a printed card for elders. Send it one-to-one or by broadcast list rather than in a group, add a personal line, and call close family first. A link keeps the schedule, venue and replies in one place as plans change.
