A short guide
Four to six weeks ahead suits most corporate events. Give six to eight weeks for conferences, galas and anything involving travel, and send a save the date two to three months ahead for major events. Internal team events need less notice, usually two to four weeks.
Include the company or host, the event’s name and purpose, the date, start and end times, the venue with access details, the agenda, the dress code, who may attend and how to register or reply by a deadline. Add a named contact for questions and any requirements such as photo ID.
Open with the host and the request, for example “The board of Harbourline requests the pleasure of your company at…”, then give the occasion, date, time and venue. Keep sentences short and neutral, and end with how to reply and by when. Add the dress code and a contact name at the bottom.
Send a polite reminder about a week before the reply-by date to anyone who has not answered, and a short note with practical details a day or two before the event. Keep reminders brief and include the event link. A personal message from the host works best for important guests.
