A short guide
Send a save the date three to six months ahead, especially if attendees must travel or get approval to attend. The full invitation, with the agenda and registration, usually goes six to eight weeks before. Follow with reminders about a week before and a day before, carrying the practical details.
Include the conference name and theme, dates, venue, who should attend and why, headline speakers, the agenda or format, the cost and what it covers, how and by when to register, and hotel and travel information. End with a clear registration button or link and a contact for questions.
Write personally, saying why you chose them. Give the conference name, audience and size, the topic you have in mind, the session length and format, the date and venue, and what you cover, such as travel or a fee. Ask for a reply by a set date and name a contact for questions.
Give every attendee a QR pass when they register, then scan passes at the door from a phone. With an Event Hub page, helpers can scan too with a door link and no account, check-in keeps working when the signal drops, and the guest list lets you check people in by name.
