A short guide
Say what the outing is and why, then give the date, start and end times, the meeting point, transport, what to wear and bring, and whether it is in work hours. Ask for dietary and access needs in the reply. A friendly line from the team lead makes it feel less like a calendar notice.
Send them four to six weeks ahead, and by early November for a party in the first half of December. Colleagues juggle family events, travel and other parties in that season. Ask for replies two weeks before, so you can confirm numbers and dietary needs with the venue.
It depends on the event and the budget. Daytime outings and offsites are usually for staff only, while evening celebrations and end-of-year parties often include partners. Whatever you decide, say it clearly on the invitation, so nobody brings a guest who was not expected or feels left out.
If attendance is expected, say so, and hold the event during working hours where you can. If it is optional, say that plainly so people feel free to decline. Rules about pay for required events outside normal hours vary by place, so check with HR before calling an evening event mandatory.
