A short guide
Send a save the date six to twelve months ahead for a reunion people travel to, and the full invitation two to three months before. For a local evening, six to eight weeks is enough. Set the reply-by date four to six weeks out, when caterers and venues usually need numbers.
Include the school, the graduating class and the milestone year, the dates and the plan for each part, the venue, the cost per person and what it covers, whether partners are welcome, hotel details if any and a reply-by date. Name an organiser to contact, and ask guests to pass the invitation on.
Name the family and keep it warm, for example “The Mendes family is getting together again, and we want everyone there.” Give the dates, the place, the plan for each day, what to bring and the cost if there is one. Add activities for children and a contact for questions.
Start with the school’s alumni office, old class lists and social media groups for your year. Then ask everyone you reach to forward the invitation to friends they are still in touch with. A single shareable link makes that easy, and replies come back to you as people find it.
